Bookkeeper

Job Title: Seniors Community Coordinator

Job Type: Part-time (20 hrs/week)
Annual Salary Range: $27-34 hour

The Bookkeeper is responsible for keeping the organization's key accounting reports and records or ledgers by performing day-to-day tasks including recording transactions such as income and expenditures and posting them to the appropriate accounts. This role is vital to the organization’s aim of keeping, updating, and maintaining records to ensure accurate financial statements can be prepared and to ensure compliance with provincial and federal requirements. This position reports to the Executive Director. 


About Us:

People for a Healthy Community (PHC) exists to provide services and support to residents of Gabriola, Mudge, and DeCourcy Islands throughout their lives, and especially at vulnerable points to improve their health and quality of life in a manner that builds community, maintains dignity and challenges inequities.

 

Through our own initiatives and in collaboration with others, we deliver programming that includes:

  • Food programs, ranging from elementary nutrition to family grocery support to seniors’ lunches

  • Seniors’ programs ranging from adult activity days to aging in place support

  • Providing access to services such as advocacy, caregiver support, hospice, physical and mental health, and transportation.​

Specific duties include, but are not limited to:​
  • Process receipts and payments;

  • Post all required accounting transactions;

  • Conduct daily banking transactions;

  • Produce a complete set of monthly financial statements and other detailed analysis and financial reports, including but not limited to a monthly variance analysis to budget as required by the management team and the Board;

  • In conjunction with the ED, prepare an annual operating budget;

  • Maintain and update the fixed assets sub-ledger at least annually;

  • Compute salaries and process payroll;

  • Keep an accurate record of all financial transactions;

  • Update, maintain, and reconcile the general ledger at least monthly and prepare a trial balance;

  • Collect, analyze, and summarize financial data and information for reporting purposes;

  • Collaborate with management and the Board of Directors Treasurer to ensure organizational finances are in good standing;

  • Recommend process improvements for the organization’s financial systems, policies, procedures, and reporting;

  • Confirm accuracy of transactions through account reconciliation;

  • Comply with provincial/federal reporting requirements;

  • Remain updated on changing provincial/federal legislation and reporting requirements;

  • Complete all tax forms in an accurate and timely manner;

  • Prepare and send out invoices as needed;

  • Prepare and send out donation receipts to all donors upon receipt of the donation;

  • Support the Executive Director, managers, and program coordinators in the development of grant proposal budgets and creation of grant completion reports as they relate to budgets;

  • Annually prepare all financial records and information required by the organization’s independent accountant such that the annual financial statements are approved by the Board and finalized in time for the organization’s Annual General Meeting;

  • Develop an annual work plan aligned with PHC’s strategic plan, ensuring that objectives, priorities, and activities support organizational goals;

  • Ensure internal policies and procedures are observed and followed at all times; 

  • Maintain program participant, donor, volunteer, and staff confidentiality at all times.

Education, Experience & Skills​
  • Diploma or Bachelor’s degree in finance, accounting, or other related field is required;

  • CPA is an asset;

  • Minimum of two years of bookkeeping experience for a small to medium sized organization;

  • Previous experience working in a not-for-profit environment is an asset;

  • Strong technical skills in G-Suite, Quickbooks, PayWorks, and/or other accounting and payroll software and the ability to learn new systems;

  • An in-depth understanding and use of accounting fundamentals, best practices, and accounting framework is required;

  • Knowledge of provincial and federal laws to comply with reporting requirements;

  • Exceptional data entry skills;

  • Exceptional attention to detail and ability produce work with a high level of precision and accuracy;

  • Exceptional communication and interpersonal skills and analytical thinking and problem-solving skills;

  • Highly organized with the ability to multi-task and skilled in time management with attention to consistently meeting deadlines.
